ABOUT THE ROLE

To support the organisation in the delivery of seasonal workers to growers across the UK. By performing this role, you will be supporting and helping the Operations Team and our charity overall to enable us to achieve our mission of fostering cross-cultural interaction.

ROLE OBJECTIVES

Work with growers, Concordia recruiters and seasonal workers to:

• Deliver excellent customer service
• Maintain excellent relationships with Concordia's key stakeholders which include growers, Concordia recruiters and seasonal workers.
• Learn and develop understanding of the industry developments and best practice
• Be one of the first points of contact for all telephone and email enquiries offering administration/customer service support.
• Effectively administer operations team duties
• Act as the main point of contact for a number of growers which includes a monthly call.

DUTIES OF THE ROLE

Grower Support

• Serve as the first point of contact for grower enquiries, providing clear guidance and support.
• Respond to enquiries regarding seasonal work and recruitment processes
• Responsible for grower orders being processed in a timely manner
• Maintain regular contact with growers in order to monitor their requirements and any changes are dealt with.
• Support new growers, when needed, with the registration process and giving advice and guidance.
• Making careful checks against the grower's criteria when approving participants onto placements ensuring any concerns are raised with the grower before approval
• To review and process grower course requirements liaising with grower as appropriate
• To send out bookings to Concordia recruiter according to the plan outlined by the Operations manager, when required.
• Liaise with growers regarding workers they have requested to come back next season to work and process their applications in a timely manner

Customer Service

• Handle questions from growers and potential seasonal workers with regards to placements and recruitment processes where necessary
• Deal with enquiries and complaints from growers, resolving them where possible or referring to the Operations manager.

General administration tasks

• Monitor and update the CRM database to ensure records are accurate and up to date
• Support operations dashboards and specific tasks as assigned by the Operations Manager
• Administer any government scheme requirements as directed
• Keeping Home Office records up to date through their system
• Assist with invoice queries when required
• Carry out any other duties required to support the general business of Concordia
• Throughout very busy periods, have the ability to manage and prioritise workloads.

Desirable experience:

Your written application should give examples of proven experience in each of the selection criteria:

• Previous experience in customer service, administration, or operations support, ideally within agriculture, seasonal work, or recruitment sectors
• Experience handling enquiries, complaints, or conflict resolution with multiple stakeholders

Desirable Skills:

• Excellent verbal and written communication skills, with the ability to explain complex information clearly
• Ability to work effectively with diverse groups, including non-native English speakers
• Proficiency in CRM systems, databases, and Microsoft Office (Word, Excel, Outlook)
• Strong organisational skills, with the ability to manage multiple tasks and deadlines
• Problem-solving skills, with the ability to mediate disputes and provide fair outcomes
• Flexibility and adaptability in a fast-paced and changing environment
• Empathy and interpersonal skills to support participants, growers, and Concordia recruiters.
